HETV Junior New Entrant Coordinator
Contract: Fixed Contract (12 months), Full time
Salary: £26,000 - £28,000 per annum (depending on experience)
Reports to: HETV Trainee Finder and Partner Outreach Manager
Location: ScreenSkills London/Hybrid (2 days week in the office)

The HETV Junior New Entrant Coordinator will have responsibility for administering and supporting the data handling of the HETV new entrant programmes, including HETV Trainee Finder, First Break and any other new entrant activity. This includes reporting information and assisting with the wider activities such as First Break and trainee recruitment, promotional activity and other administrative duties that help ensure the smooth running of the programmes. This role will also include the updating of associated paperwork, particularly Trainee Finder callouts, the tracking of trainee placements and the handling and collating of trainee CVs. The HETV Junior New Entrant Coordinator will also be responsible for supporting the work of the HETV Trainee Finder and Partner Outreach Manager by collating and sending out resources and other related duties to assist the smooth running of HETV new entrant activity. This is a key role to support the smooth running of our new entrant-focused programmes and requires attention to detail and a proactive and customer-facing approach.
Key responsibilities:
- Work with the HETV Trainee Finder and Partner Outreach Manager to support, collate, update and send out new entrant resources
- Create and update tracker systems to track First Break activity to feed into HETV reporting for delivery
- Support and attend events as part of the new entrant team
- Set up online booking systems for First Break and related new entrant, training and placements for participants at all stages of the programmes
- Manage Facebook pages for new entrant programmes, ensuring ScreenSkills and other relevant opportunities are shared
- Monitor and reply to messages in the First Break and Trainee Finder inboxes
- Gather feedback on, and ideas for, the new entrant programmes via surveys or other feedback formats
- Support the coordination, administration and delivery of in-person and online meet-up events for First Break and Trainee Finder
- Support the coordination, administration and delivery of the Trainee Finder recruitment process. This includes supporting the annual trainee induction days and the organising of further training and logging attendance
- Support the scheduling and booking of Trainee Finder interviews for applicants and rescheduling of any missed interviews.
- Send out offer letters for Trainee Finder and request for right-to-work information as well as, rejection letters for unsuccessful applicants.
- Provide admin support to the Trainee Finder Outreach Manager when organising the training provided to unsuccessful applicants.
- Conduct callouts to trainees for job opportunities and relevant CVs are collated, logged and passed onto the Trainee Finder Outreach Manager within 48 hours of a production’s request
- Update relevant contact databases and availability spreadsheets for all relevant contacts for new entrants activity
- Ensure trainees and First Break cohorts create a ScreenSkills profile on the website
- Communicate with the Digital team about trainees being tracked on the system and maintaining data requirements.
- Support the HETV Senior Contributions and Tracking Coordinator to keep the Productions tracker up to date with Trainee Finder and First Break participant names and ringfenced funding amounts
- Provide general administration for the HETV team where required
- Ensure contacts are kept up to date on the HETV trackers that are used to manage day-to-day activity
- Provide cover and support for the HETV Industry Executive and all other project coordinators
- Support promotion of training activity on Facebook groups related to Trainee Finder and wider new entrant programmes - ensuring pages are regularly updated
- Provide other administrative support to the HETV team, including answering HETV department general emails and calls

The ideal candidate will have the following:
Essential:

- Strong administration skills, including data management in Excel, and knowledge of using mail merge on Outlook

- Data management system experience – training will be provided but base knowledge required
Preferred:
- A passion and interest in the screen industries
- Ability to work with a wide range of people from trainees to Heads of Production
- Experience designing resources using software such as InDesign and Photoshop
